Suggestions for Email Message Sorting or Filtering

Generally, you can use your email software rule processing or message filter feature to automatically filter, sort or colorize messages from the list. Depending on your mail software, you may be able to search on the following items:

    • use: "MAPUG@mapug-astronomy.net" in the "To" or "Reply-To fields."
    • use: list-id: "MAPUG" to filter on a string in the message header
      or to simply have the filter look for "mapug" in "any header"

Following are some specific examples that might provide guidance in setting-up your particular email client (software):

Outlook 2003 on Windows

For Outlook 2003 on Windows computers:

You can use a rule to move messages sent to <mapug@mapug-astronomy.net> into a specified folder.
The rule is as follows:
  Step A: Select conditions Sent To People or Distribution List To address = mapug@mapug-astronomy.net
  Step B: Edit the rule description: Move it to the mapug-astronomy.net folder or whatever you chose to name it.

For Outlook Express on Windows computers:    Top

You can use a rule to move messages sent to <mapug@mapug-astronomy.net> into a specified folder.
The rule is as follows: To: = mapug@mapug-astronomy.net   & to move it to a designated folder other than the Inbox.

Create a 'new' folder to hold the messages then:
 Click "Mail Options"
 Click "Filters"
 Click "Add" (which produces the dialog box below)

Enter text for "Filter Name"
For the line: "To/Cc header:" enter:  MAPUG@mapug-astronomy.net
Then...  Move the message to: "#Pick exisiting folder here#"
   (see figure below for results of these choices)

Eudora on Windows:    Top

Figure 1 shows Eudora's menu header with "Tools" selected.

Step A: The first submenu in Tools is "Filters", when clicked shows Figure 2 below with emails from the two lists combined and "Transfer To" into a folder called "MEADE" in this example.

Step B: In Figure 2 above, in Match (#1) select "Incoming."

Step C: Then at Header (#2) click the menu and select "Reply-To:" and click the other menu to select "contains." In the text field put: MAPUG or MAPUG@Mapug-Astronomy.net.
(If you wish to filter on another email list to route its messages into the same folder then make your choices at #3. )

Step D: Next, at Action (#4), click the menu and select "Transfer To" and at #5 select the folder you wish to route the messages into-- you may have to create this folder first.

For Outlook Express 5.0 on Macintosh:    Top

Step A: Click the Tools menu and select Rules..., in the Mail Rules dialog box click on "New" and in the drop-down menu select "Mail (POP)" or (IMAP) or (HotMail) depending on your choice (most likely POP). You will then get the "Define Mail Rule" dialog box, see figure below:

Step B: Give the rule a relevant name.

Step C: Click the menu in the "IF" area (probably will say All Messages until you click the menu) see figure above. Decide whether to filter on "From" or "Reply-To" or "Any header" -- any will work -- see #1 in figure above. Leave the other menu set at "if any criteria are met."

Step D: In the "Then" area click the menu and select "Move message" see #1 in figure below.

Step E: Click the next menu (probably says Inbox) and either chose a folder you have created already or select "Choose folder" at #3 in figure above. You will get a dialog box where you can create and name a new folder to receive the emails from the Mapug-Astronomy.net list.

Step F: Be sure that the "Enabled" box is checked, #4 above, before clicking OK.

Step G: After clicking on OK to close all dialog boxes, your new filtering or sorting rule is complete. Probably a good idea to Quit and relaunch so that Outlook will save and reload your rule.

For Netscape 7.0 on Macintosh:    Top

Step A: Drop the Tools menu and select Message Filters... see figure below:

Step B: Click New (#1 above) to get the "Filter Rules" dialog box below:

Step C: Give the filter a name (#1 above) and select the radio button for "Match any of the following" (#2).

Step D: At position #3 above, you can create any one of the search criteria shown or do all three by clicking the "More" button at #4 several times to get the total of three criteria illustrated. Note: you have to type in the text for MAPUG@mapug...etc. and pop the menus to the indicated choices.

Step E: At menu #5 above, click the menu and select "Move to folder."

Step F: At menu #6 above, click the menu and select a folder you have already created in Netscape email window (under the File menu) or go to button "New folder..." #7 above and create a folder to receive the messages from the Mapug-Astronomy.net list.

Step G: In the first figure, at #2 , click the "Move up" button to place your new filter first (if there are others) so that this filter gets first chance to filter the list's posts into the desired folder. Probably a good idea to Quit and relaunch so that Netscape will save and reload your rule.

If you use anti-spam filtering software, remember to add:  MAPUG@mapug-astronomy.net to your white-list. For a more advanced setting if your software supports wildcard characters is to use: *@mapug-astronomy.net
